Privacy policy

At Idefly we keep only what is needed so that your ideas go with you from your phone to your computer. We don't sell your data, we don't show ads and we don't use your content to train artificial intelligence.
1. Who is responsible
Idefly is a service of Gabriel Tafalla, a sole trader registered in Georgia with identification number 306559060, with address at Alio Mirtskhulava 9D, 0160 Tbilisi (Georgia). For any question about your data, write to hola@idefly.app.
2. What data we process
| Data | What for |
|---|---|
| Email address and password (the password is stored encrypted; nobody can read it) | Creating your account, letting you sign in and sending you account emails |
| If you sign in with “Continue with Apple”: an identifier for your account that Apple gives us and, if you want, your name and your email address (which may be an Apple forwarding address) | Creating your account and letting you sign in without a password |
| Username (@username), and your name and profile photo if you add them | So that other Idefly users can find you to add you as a friend or share a project with you (you can turn this off) |
| Your content: ideas, scripts, shots, references, notes, photos and voice notes | Storing it and syncing it between your devices |
| Comments and suggestions you write in a shared project, who writes them and when, which part of the project they refer to (with the text quoted at that moment) and how far you have read each conversation | So that the people in a shared project can talk about it |
| Friendships: who you have sent a friend request to or received one from, whether it has been accepted and since when, or whether you have chosen “Not now” | So that you have your friends list and your friends come up first when you share |
| When you search for people (only the time, not what you type), for one hour | Applying the search limit so that nobody can extract the list of users |
| Blocks: who you have blocked and since when | So that those people can't find you, send you requests or invite you to projects |
| Reports you make: which account or comment you report, the reason, what you add and a copy of what you reported as it was | Reviewing the report and acting if it breaks the terms |
| Language, profile photo and app preferences | Showing you the app and the emails in your language, and keeping your settings on all your devices |
| iPhone notification identifier (provided by Apple) and app language, only if you turn on notifications | Notifying you on your iPhone when you are invited to a project, a project is shared with you, someone accepts your invitation or leaves it, a project you share or your permission in it changes, someone wants to add you as a friend or accepts your request |
| Name and gender | Personalising the app's greeting |
| Connection with Notion (only if you connect it): the access Notion gives us, the name and icon of your workspace, which Notion page matches each project, and the images you bring in from there | Bringing into Idefly the pages you choose, sending to your Notion the projects you want and keeping them up to date (see “Notion” below) |
| Usage counters (how many transcriptions, summaries and AI actions you do per day, storage used) | Applying each account's limits and preventing abuse |
| iPhone app usage events: the actions you take in it (opening it, creating a project, moving to the next phase, using the AI features…), when and for how long, whether they worked and the app version, linked to your account. Never the content: no titles, texts, scripts, audio or photos | Improving the app: seeing what gets used, what doesn't and where something fails |
| Waiting list email address (only if you sign up on idefly.app) | Letting you know when Idefly is on the App Store |
| Technical data (IP address, browser type, error logs) | Security, protecting sign-up against bots and fixing bugs |
We ask you for a username. Name and gender are optional and are used to personalise the app's greeting. We don't ask for your phone number or payment details.
Your name and your @username can be searched within Idefly so other people can find you, send you a friend request and invite you to projects. Nobody sees your projects or your ideas unless you share them.
Part of your content is also stored on your own device (in the browser's or the app's storage) so that it works offline. When you sign out, it is deleted from that device. We don't use advertising cookies or third-party tracking tools. The iPhone app's usage events are our own measurement: they are stored in our own database, they are not shared with anyone, they are not used for advertising and they don't follow you across other apps or websites.
Notion
Connecting Notion is optional. If you connect it:
- What Idefly reads. Only the pages and databases you choose to share with Idefly in Notion's window when you connect it; you can add or remove pages at any time from Notion. We can't see anything else in your Notion. To show you the list, we read their titles and icons. When you import a page, we read its content: the text, the columns if it belongs to a database, and the images.
- What we keep. The access Notion gives us, encrypted, together with the name and icon of your workspace and your Notion settings in Idefly. Which Notion page matches each project, so that importing again updates the project instead of duplicating it, and so that what you send stays up to date. The images you import are copied to your storage in Idefly and count towards its limit. What you import becomes your own projects, like any other.
- AI when importing. To sort each page into hooks, script, shots, references and notes, its text (the title, the columns and the text of the page, without the images) is sent to OpenAI at the moment you import it. When you bring in a database, the names of its columns and their options are also sent, to suggest how to match them with Idefly. Before anything is created, we show you how it will look.
- What you send to Notion. Only what you choose: a project as a page, with the parts you tick, or, if you turn on the Idefly database, one row for each project in your Full space with its title, phase, platforms, length, shoot date and shots filmed. If you choose to keep it up to date, the changes you make in Idefly are carried over to Notion.
- Notices from Notion. Notion lets Idefly know when something changes in what you've shared. If you have turned on bringing your changes in Notion back to Idefly, we read that page again and only update the phase, the shoot date, the platforms and the box that marks each shot as filmed. If it's not turned on, the notice is discarded without reading anything. The text (hooks and script) is always decided in Idefly.
- Disconnecting. In Settings → Notion → Disconnect. We delete the access and the changes that were still waiting to be sent. What you imported stays in Idefly and what you sent stays in your Notion. We keep which page matches each project so that nothing is duplicated if you connect it again; if you'd rather we delete it, write to hola@idefly.app. You can also remove Idefly's access from Notion's settings: from then on we can't read or send anything, and we let you know in the app.
3. Why we can process it
- To provide the service you request when you create the account (contract): account, sync, transcription, Notion, shared projects, comments and friends.
- Because you ask us to (consent): if you join the waiting list, to let you know about the launch. You can withdraw it whenever you want by writing to hola@idefly.app.
- For our legitimate interest in keeping the service secure: protection against bots, usage limits, the limit on people searches, blocks, reviewing reports and technical logs.
- For our legitimate interest in improving the app: usage events tell us which features are used and where something fails, without looking at your content.
- Because of a legal obligation, when a law requires us to keep or hand over some data.
4. Who else is involved
We use these providers, which process the data only to provide their service to us:
| Provider | What it does | Where |
|---|---|---|
| Supabase | Database, accounts, files (photos and audio) and the connection with Notion | Ireland (EU) |
| Netlify | Hosts the app and the server functions, and stores the usage counters | United States |
| OpenAI | Transcribes voice notes, makes summaries and answers the assistant and the AI tools (hooks, scripts and shots, and sorting what you import from Notion), only when you ask. To do so it receives the text needed: your question and the idea, the script, the shots and the text references of the open project, or the text of the Notion pages you import. Photos and audio are not sent to these tools. According to its terms, it does not use this data to train its models and keeps it for a maximum of 30 days to prevent abuse | United States |
| Resend | Sends the account emails | Ireland (EU) |
| Cloudflare (Turnstile) | Checks that whoever signs up, signs in or joins the waiting list is not a bot | Global |
| Apple (Sign in with Apple) | Checks who you are when you choose “Continue with Apple” and gives us an identifier for your account and, if you want, your name and your email address. You can give us an Apple forwarding address instead of yours | United States |
| Apple (Apple Push Notification service) | Delivers the notifications of the iPhone app, only if you turn them on. It receives your iPhone's notification identifier and the text of the notice: who did it and the title of the project, for example “Ana changed the script of "Wedding"”. It receives nothing else of your content | United States |
| Microlink | Gets the preview image for the links you save in the iPhone app. It only receives the link's address: not your account or any of your content | Global |
| YouTube, Vimeo and TikTok | Preview of the links you add as references | United States and others |
| Notion | If you connect your account, it lets us read the pages you share with Idefly, receives what you send and lets us know when something changes in what you've shared. What is in your Notion is governed by Notion's policy | United States |
5. Data outside the European Union
Some providers are in the United States or in other countries outside the EU, and the person responsible is in Georgia. In those cases the data travels protected by the safeguards required by the GDPR: the EU-U.S. Data Privacy Framework when the provider has joined it, or the European Commission's standard contractual clauses.
6. Shared projects
You can share a project with other people who have an Idefly account. You decide, project by project, choosing who by their username or their email address.
- What they can do. Each person has one of these permissions, which you choose and can change whenever you want (we let them know about the change): Can edit: sees the whole project and can change it (the text, the shots, the references, the photos and the voice notes). View and comment: sees the whole project and can leave comments and suggestions, but not change it. Nobody sees your other projects or anything else from your account.
- Before accepting they only see who is inviting them (your username, and your name and your photo if you have added them) and the title of the project.
- Who changed it. In a shared project we store, and show to those who share it, who edited it last and when.
- Stopping sharing. Whoever shared the project can stop sharing it, or remove a person, whenever they want: from that moment that person can no longer open it. The other people can leave the project whenever they want; it disappears for them immediately.
- Copies. While someone has access, they can copy what they see. Stopping sharing does not delete the copies that person has made on their own.
- If you delete your account, what you shared with other people remains available to them. If you don't want that, stop sharing it before deleting the account. Your comments stay in the projects where you wrote them so that the others don't lose the conversation, but without your name, your photo or your username: they appear as “Deleted account”. If you want us to also delete the text of any of them, write to us at hola@idefly.app.
Comments
In a shared project, anyone with access can comment on a sentence, a shot or a reference, and suggest a change to the text.
- Who sees them: everyone who has access to that project, including people who join later. Nobody else.
- What we store: the text, who writes it and when, which part of the project it refers to (with the text quoted at that moment), whether the conversation is closed and who closed it, and how far you have read each conversation, to mark what's new for you.
- “Typing…”: while you write a reply, the other people in that conversation see that you are typing. It's a live signal: it isn't stored.
- How long: as long as the project stays shared. They are deleted when you stop sharing it (also if you remove the last person or cancel the last invitation) or when you delete it permanently; moving it to the trash doesn't delete them. If you delete your account, your comments stay without your name, as “Deleted account”.
Friends
You can look for other Idefly users and send them a friend request. If they accept, you are friends: each of you appears in the other's list, and first when sharing a project.
- When they search for you, other people see your username, and your name and your photo if you have added them. As a hint to recognise you, they may see whether you are already friends, the title of a project you share or how many friends you have in common. Never your email address, your friends list or your projects.
- If you tap “Not now” on a request, we don't tell the person who sent it. If you remove a friend, we don't tell them either.
- Let people find me. In Settings you can turn off being found by your name or your @username. With it off, only your friends and the people who already share a project with you can find you, and only the latter can send you a friend request.
- How long: friendships, until one of the two people removes the other or deletes their account. Requests, until they are accepted or cancelled; those that are not accepted are deleted after 90 days.
Blocking and reporting
- Blocking. If you block someone, you stop being friends (if you were) and we don't tell them; you no longer find each other when searching, and they can't send you requests or invite you to projects (nor can you, while you have them blocked). The projects you already share stay as they are. Nobody sees who you have blocked.
- Reporting. You can report an account or a comment. We store who reports, which account or comment, the reason, what you add and a copy of what was reported as it was, which we keep for up to a year even if the comment is deleted. Only we can see it: the person reported doesn't know who reported them. Each report reaches us with an email notice, without names or the reported content.
What other people see of you
Your username, and your name and your profile photo if you have added them, can be seen by anyone with an Idefly account when looking for someone to add as a friend or share a project with, unless you turn off being found. It is the only thing of yours that can be seen without you sharing it: your email address is never shown, nor are your ideas or your projects.
So that nobody can extract the list of users, searching by name starts from 3 letters, returns at most 10 people and has a search limit. You can remove your name or your photo in Settings, change your username whenever you want or turn off being found.
7. Waiting list
If you sign up on idefly.app to know when Idefly arrives on the App Store:
- What we store: your email address and the language in which you saw the page. Nothing else.
- What for: only to let you know about the launch. We don't use it for anything else and we don't give it to anyone.
- Where: in our Supabase database (Ireland, EU), in a separate table, apart from the accounts, that the app cannot read. When you sign up, Cloudflare Turnstile checks that you are not a robot.
- How to delete it: write to us at hola@idefly.app (also from idefly.app/soporte) and we will delete it. If you don't ask us to, we delete it after letting you know about the launch.
8. How long we keep them
- Your account and your content, as long as you have the account.
- The waiting list email address, until we let you know about the launch or you ask us to delete it (write to hola@idefly.app). We only use it for that notice.
- The connection with Notion, until you disconnect it or delete your account. Which Notion page matches each project, until you delete your account or ask us to delete it. The images you import from Notion, like the rest of your files.
- What you move to the trash is deleted automatically after 7 days, together with its files (photos and voice notes), or earlier if you empty it yourself.
- If you delete your account (Settings → Account → Delete account), your account, your content, your files, your invitations to other people's projects, your friendships and friend requests, your blocks and your connection with Notion are deleted. Your comments in shared projects stay, without your name, as “Deleted account” (section 6). The providers' backups, if any, disappear within a maximum of 30 days. What was stored on the device from which you delete it is also deleted.
- Transcriptions are not kept at OpenAI beyond its 30-day period. The daily usage counters (an account identifier and some numbers per day) are deleted after 90 days.
- The iPhone app's usage events are deleted automatically after 90 days, or earlier if you delete your account.
- The comments in a shared project, as long as it stays shared; they are deleted if you stop sharing it or delete it permanently (not when you move it to the trash).
- Friendships, until one of the two people removes the other or deletes their account. Friend requests, until they are accepted or cancelled; those that are not accepted are deleted after 90 days.
- The log of people searches is deleted after one hour.
- Blocks, until you unblock the person or one of the two deletes their account.
- Reports are deleted automatically after one year. If you delete your account before then, they are no longer linked to it.
- Your iPhone's notification identifier is deleted when you sign out on that iPhone, when you delete the account or when Apple tells us it is no longer valid (for example, if you delete the app). You can turn off notifications whenever you want in Idefly's settings or in the iPhone's settings.
9. Your rights
You can ask at any time to see your data, correct it, delete it, take it to another service, restrict its use or object to it. You can do many things yourself from the app: export everything in a ZIP file, change your password and delete your account. For everything else, write to hola@idefly.app and we will reply within one month at most.
If you think we are not handling your data properly, you can complain to the data protection authority of your country. In Spain it is the Agencia Española de Protección de Datos (aepd.es).
10. Minimum age
Idefly is for people aged 16 and over. If you are younger, don't create an account.
11. Security
Connections are encrypted, passwords are stored encrypted and each account can only read its own content and the content shared with it. No system is infallible: if we detect a problem that affects your data, we will let you know.
12. Changes
If we change this policy in an important way, we will let you know in the app or by email before the change applies.
In case of any difference between versions, the Spanish version prevails.
